Collections Management Assistant

THE BROAD 

The Broad’s mission is to make contemporary art accessible to the widest possible audience. Founded in 2015 on Grand Avenue in downtown Los Angeles by philanthropists Eli and Edythe Broad, the museum offers free general admission and presents an active Program of special exhibitions and innovative live events, all within a landmark building designed by Diller Scofidio + Renfro. Welcoming around 900,000 visitors per year, The Broad is a bustling public space and serves as home to the Broad collection, one of the world’s leading collections of postwar and contemporary art, which continues to grow as new artists and artworks are added. The museum is also the headquarters of The Broad Art Foundation’s worldwide lending library, which has been loaning collection works to museums around the world since 1984. To create greater public access, The Broad will break ground on a 55,000 square foot expansion in early 2025.

ABOUT THE POSITION

As a member of the Collections Management team, the Collections Management Assistant will work with the Director of Collections Management, Associate and Assistant Registrar, to assist them with their daily responsibilities related to caring for a collection of over 2,000 works of contemporary art. This individual may be involved in many areas of registration, including but not limited to installation/de-installations, collection moves, inventory, collection documentation, and new acquisitions.

DUTIES AND RESPONSIBILITIES

  • Check museum galleries and review gallery incident reports daily. 
  • Assist with object cleaning and maintenance. 
  • Update records in museum’s Embark database, work extensively with database and physical object files and records. 
  • Create physical and digital object files for new acquisitions. 
  • Prepare condition reports for artwork, including new acquisitions and outgoing loans. 
  • Track object movements. 
  • Create photographic documentation of objects and artwork installations. 
  • Process digital images and upload to Digital Asset Management system with accurate metadata. 
  • Work with art handlers on installations/de-installations at the museum and offsite warehouses. 
  • Complete annual physical inventories of artwork at the museum and off-site warehouses. 
  • Attend weekly collection management team and museum-wide meetings. 
  • Other duties as assigned.

REQUIREMENTS
EXPERIENCE AND QUALIFICATIONS 

  • Bachelor’s degree (advanced degree preferred) in art history or museum studies or similar with at least one year’s museum experience preferred. 
  • Database experience with Embark or similar CMS. 
  • Excellent interpersonal skills, ability to communicate with all members of museum staff. 
  • Positive working attitude. 
  • Detail oriented with the ability to manage multiple projects simultaneously. 
  • Flexibility and ability to follow-through on work assignments. 
  • Approach work with integrity and honesty. 
  • Support and demonstrate the museum’s culture of developing a diverse, equitable, inclusive, and accessible environment for staff, contract staff, vendors, and visitors. 
  • Ability to work in a fast-paced environment. 
  • Demonstrate and practice cultural awareness/sensitivity to all programs and services the museum provides.

SAFETY REQUIREMENTS

PHYSICAL REQUIREMENTS 

  • Ability to stoop, bend, squat/crouch, crawl/kneel, stand for long periods of time, push/pull items weighing up to 25 pounds, climb (ladders), and reach above the shoulders. Specific vision abilities required by this job include close vision. The user must be able to remain stationary and use repetitive movements of wrists, hands, and fingers while working on the computer.

SCHEDULE 

  • Work is typically performed onsite between 9 a.m. and 6 p.m., Monday through Friday. The Collections Management Assistant should have the flexibility to on occasion be expected to work outside of regular business hours.

PAY RANGE

  • $23.00 - $24.50 per hour, based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data.
